There are three sources we use to collect and then store your personal information at YBDFinds.

  • Creating an Account & Placing an Order
  • Guest Checkout including Placing an Order
  • Signing up to our Mailing List via Email Opt-In

 

Lawful processing

We must have a lawful reason to process personal data and we always ensure that this is the case. We will only use your personal data for the purposes for which we collected it, unless we fairly consider that we need it for another reason that is compatible with the original purpose.

Below are the lawful bases that we use.

 

Contractual obligations

In certain circumstances, we need your personal data to comply with our contractual obligations.

For example, if you order an item from us for home delivery, we’ll collect your address details to deliver your purchase, and pass them to our courier

  • to identify you
  • to respond to your inquiries
  • to allow you to register an account or set up a wish list
  • to provide our products and services, including enabling them to be delivered to you and contacting you about your order (for example, regarding stock or availability)
  • to carry out billing and administration activities, including refunds and credits

Of course, you are not obliged to provide us with any of this information, but if you chose not to, we may be unable to provide the product or service that you have requested.

In specific situations, we require your data to pursue our legitimate business interests in a way which might reasonably be expected as part of running our business and which does not materially impact your rights, freedom or interests.

In specific situations, we will collect and process your data with your consent. For example, when you tick a box to receive email newsletters. You will always have the option to withdraw your consent at any time

1 a.) Creating an Account & Placing an Order

We will ask for the following information when you create an account and place an order with us;

  • Name, Home Address, Email Address, Shipping & Credit/Debit Card Billing Address (if different).
  • Contact telephone numbers may also be requested so that we may contact you if there is a problem with your order.

You will also be given the opportunity whilst creating your account to opt in to receive marketing communications from us, via email. If you choose not to opt in, you will only receive emails from us regarding your order, including Order Confirmation, Shipping & Returns information.

We may also obtain information about you as a result of authentication or identity checks. In some isolated instances, we may ask for your telephone number or personal identification verification in the form of photographic evidence.

We do not store any details of your debit or credit cards or other financial details other than the billing address.

We also use your personal data (and YBD Cookies) to store items you place in your basket but do not purchase. The item (s) will remain in your basket for 30 days, but will not be reserved or removed from stock and are therefore always subject to stock availability.

 

Lawful Basis for Processing & Storage

All this information is lawfully necessary to process, fraud check and notify you of acceptance of your order &anp; delivery arrangements, as outlined in Article 6 of the GDPR, under lawful basis (b.) ‘Contract’.

  • We will store your data for 36 months. If there is no activity (confirmed orders) through your account after this period of time, we will remove your details.

1 b.) Guest Checkout including Placing an Order

We will ask for the following information when you check-out as a guest when placing an order with us;

  • Name, Home Address, Email Address, Shipping & Credit/Debit Card Billing Address (if different).
  • Contact telephone numbers may also be requested so that we may contact you if there is a problem with your order.

You will also be given the opportunity when checking out to opt in to receive marketing communications from us, via email. If you chose not to opt in, you will only receive emails from us regarding your order, including – Order Confirmation, Shipping & Returns information.

  • We will store your data for 24 months. If you don’t make a repeat order within 24 months or create an account after your first order, we will remove your details.

1 c.) Mailing List Opt-ins (without purchasing)

We will ask for the following information when you sign up to our mailing list via email opt in.

  • Name, Email Address, Month of Birth.

 

Lawful Basis for Processing & Storage

This information is lawfully necessary to process, as outlined in Article 6 of the GDPR, under lawful basis a.) ‘Consent’.

  • We will store your data for 12 months. If you do not open an email from us within this time, we will remove your details.

You can opt out at any time – simply select ‘Unsubscribe’ in the footer in any of our emails, and we will remove your details from our database.

 

2. SAFETY & SECURITY OF YOUR INFORMATION

Our site uses industry standard secure server technology software to ensure your information is protected whenever you place an order or access your account information. This software (known as Secure Socket Layer or SSL) encrypts all information you input before it is sent to us to minimise the risk of this being intercepted before it is received by us.

We confirm that any information we collect from you will only be used lawfully and in accordance with United Kingdom Data Protection Legislation (the Data Protection Act 1998) and the new EU General Data Protection Regulation 2018.

We accept online payment in a secure environment by the following methods:

  • Credit or Debit Card. We currently accept Mastercard, Maestro, Discover, Visa, and American Express via the Stripe payment gateway.
  • Apple Pay and Google Pay. Please note that you must already have Apple Pay or Google Pay Set up on your device before attempting to make a purchase.
  • Paypal.

All transactions are shown in GBP (£), HKD, USD ($), and EURO (€)

We do not store any of your payment card details on ybdfinds.com

A Secure Shopping Guarantee has been established for every payment transaction made on our site. If any unauthorised charges were to appear as a result of shopping with YBDFinds, you must notify your debit or credit card provider in accordance with their reporting rules and procedures.

 

3. SHARING YOUR PERSONAL DATA

YBDFinds respects the privacy rights of its online visitors and customers and recognises the importance of protecting the information they might provide.

We will not pass on your personal and account information to any other third-party organisation except those of our partners involved in authentication & identity checks and the delivery of any orders you may place with YBDFinds through this site.

Our delivery partners are the brands currently listed on our website;


We provide only the information they need to perform their specific services (sending out your orders) and they may only use your data for the exact purposes we specify in our contract with them.

If we stop using their services, any of your data held by them will either be deleted or made anonymous.

Sharing your data with third parties for their own purposes:

We would only do this in very specific circumstances and with your express consent.

Checking your identity

To protect the confidentiality of your information, we will ask you to verify your identity before proceeding with any request you make under this Privacy Notice.

If you have authorise a third party to submit a request on your behalf, we will ask them to provide proof that they have your permission before taking any action.

Any changes in our privacy policy will be posted on this site so you can ensure that you are fully informed of your rights and can notify us of any changes to your preferences.

This policy applies to this website, but not to websites we may link to & engage with and that are maintained by other companies & organisations. YBDFinds is not responsible for any personal information you may submit to third parties via links from our site. Please ensure you read the privacy policies of all other such companies & organisations before submitting your personal information.

GOOGLE ANALYTICS

We use this to understand how our site is being used in order to improve the user experience. All data collected is anonymous.

PERMISSION TO TRACK

By signing up to our newsletter, or opting in to receiving it during checkout, you are giving permission for our digital marketing service provider (FloDesk) to track our communications to you. This enables us to monitor use of our emails and website for reporting so that we can improve our future communications.

We are planning to enhance our cookie tool to allow users to more easily change their cookie settings after their initial choice.

We are aware that do not track (DNT) is a feature offered by some browsers. If you enable this feature, it will send a signal to websites to request that your browsing isn't tracked, for example by third party advertisers. At present no industry-wide uniform standard has been agreed and adopted to determine how DNT requests should be managed, so our website doesn’t currently respond to DNT requests. We’ll continue to review development of new technologies and any standard that is adopted, but for now we won't be able to respond to DNT requests.

 

4. YOUR INFORMATION RIGHTS

By subscribing to our mailing list you are opting to receive communications from YBDFinds by email. You will, however, have the opportunity to unsubscribe from our mailing list each time we contact you.

 

Account Holders – Managing your Preferences

You can review the personal and account information we are holding in your name, including your existing preferences in relation to receiving marketing information from YBDFinds, by going to ‘My Account’. Here you can review and update your details accordingly.

You can delete your account at any point and we will remove all identifiable information about you. We will only retain Order ID numbers in order to keep our reporting systems stable.

You also have the right to withdraw email opt-in consent at any point.

NON-UK CUSTOMERS

We’ll ensure that any third parties process your personal data only in accordance with their legitimate interests. These third parties may be subject to different laws from those which apply in your country of residence. Please note that we do not take active steps to ensure that any overseas recipient of your personal data complies with the laws which apply in your country.
